Planning a corporate event takes time, coordination, and attention to detail. Following a strategic timeline is crucial for pulling off a seamless event that leaves attendees feeling informed, entertained, and engaged. The following guide offers a step-by-step timeline for organising a successful corporate event from start to finish.

Six to 12 Months Out

The planning process begins six to 12 months from your event date. This gives you ample time to secure the perfect venue, line up speakers, and promote the event.

  • Set objectives. Define the purpose and goals of your event. Is it for training, motivation, or unveiling a new product? Establishing clear goals will dictate many of your subsequent decisions.
  • Choose a date. Check calendars for conflicts with holidays, conferences, or other company events.
  • Select a superb corporate event venue. Research options that accommodate your expected number of guests and support your program needs.
  • Build an event team. Assign roles like budget oversight, vendor management, registration coordination, etc.
  • Create an event blueprint. Outline the agenda, timeline, speakers, menus, A/V, collateral, and more.

Three to Six Months Out

With large decisions made, focus on bringing your vision to life.

  • Send speaker invites. Recruit internal executives and external experts to present.
  • Hire vendors. Vet and contract vendors like caterers, A/V techs, florists, and decorators.
  • Open event registration. Build buzz and get an accurate headcount.
  • Design collateral. Create signage, programs, name badges, and other event collateral.
  • Launch promotional plan. Announce the event via email, social media, intranet, and other channels.

One to Three Months Out

Moving into the home stretch, evaluate progress made and tackle outstanding items.

  • Finalise headcount. Estimate attendance based on registration data. Adjust venue, catering, etc. if needed.
  • Monitor promotion. Drive more registration with follow-up emails and social media reminders.
  • Collect assets from speakers. Gather presentations, photos, bios, and A/V requirements.
  • Complete run-of-show. Finalise the minute-to-minute schedule and script if needed.
  • Conduct vendor walkthroughs. Review setup needs, delivery schedules, and logistics.
  • Ship event materials. Send collateral, signage, and other items to the venue ahead of time.

Two Weeks Out

Confirm every detail is ready for event day.

  • Reconfirm vendors. Verify all vendors have what they need to fulfil their roles.
  • Print final collateral. Print programs, signage, name tags, coupons, etc. if needed.
  • Assemble speaker packets. Include water, notebooks, schedules, stipends, and gratitude gifts.
  • Send event reminder. Email attendees with event details, agenda, and what to bring.
  • Pack supplies. Gather registration materials, decorations, signage, prizes, etc.

Event Day

It is finally here. Trust your planning and enjoy watching it come to life.

  • Oversee setup. Ensure the venue, food, and décor are arranged according to plan.
  • Greet speakers. Walk them through the schedule and go over A/V one last time.
  • Manage registration. Welcome guests, hand out name badges, and answer questions.
  • Facilitate the event. Keep sessions on schedule. Troubleshoot issues as needed.
  • Photograph. Take pictures of speakers, booths, and activities for post-event use.
  • Distribute and collect feedback. Have attendees complete comment cards onsite.

Post Event
